2000 – 2001 MEMBERSHIP GOALS
Membership goals were established by South Dakota’s 13 Subordinate Lodges, the South Dakota Elks Association and the Order for the 2000 – 2001 Fraternal Year to ensure our Lodges and the Order of Elks continue to be a leader in communities across the Nation.
Based on the goals set by the Lodges, progress toward
established membership goals is expected. The goal for the state this year
is a membership of 8,715. Membership April 1, 2000 was 8,059. By reaching
the goal, a membership increase of 8.14 percent over the April 1, 2000
base and 4.8 percent over the April 1, 1999 base (8,316) will be realized.

MONTHLY MEMBERSHIP REPORT
We accomplish what we count. Therefore, it is important that each Lodge send the State membership chairman a Lodge Membership and Lapsation Statistical Report each month. The preferred time is mailing by the 5th of each month. A copy of the report was included in the South Dakota Membership Program Booklet distributed at Spring Workshop, the packet provided at the August DD Clinic. A copy may also be downloaded from this web site.
MEMBERSHIP RECRUITMENT IDEAS
PROSPECT LIST
Create a list of 25 to 50 prospective new members or reinstatements. Divide the list among the membership team. Have team members contact all of the individuals on their list over a one to two week time period. The membership chairman should monitor progress of each team member twice each week and collect completed applications. At the end of the program invite all prospective and reinstated members and their spouses to a social at the Lodge.
M - NIGHT
Schedule a "Bring One Stag" at the Lodge with the proceeds of the evening ear marked for one of the Lodges community charities. Members who bring a prospective new member or reinstatement as their guest get a discount off their dinner ticket, a free drink ticket or name entered in a drawing. During the evenings festivities, be sure to set aside a time to invite the guests to apply for membership or reinstatement. The invitation should be brief and center on the lodges benevolent and fraternal activities that benefit the Lodge service area.
OPEN HOUSE
Advertise that the Lodge is accepting new members in the media and targeted mailings. Have members personally invite and bring targeted prospects to an open house at the Lodge. At the open house have:
MOST WANTED MEMBER
Create a list of community leaders whom you feel would
benefit the Lodge. Designate Lodge members who know them to contact them
concerning becoming members of the Lodge.
COMMUNITY OUTREACH
The purpose of a community outreach membership program is to generate a list of prospective members. The prospects identified are then invited to join the Lodge using a combination of the other methods previously discussed. The program centers around a Lodge display/exhibit at a fair, exposition or farm-home show or in a shopping mall during a busy time of the year or week. The display should center on the Lodges charitable and fraternal activities in the service area. Have a supply of applications, reinstatement and "interest" forms at the display. Those that complete the forms become the prospect list. Within a week after the event where the display was set-up, contact the individuals who completed an application or reinstatement form, indicated an interest in becoming a member or wanted additional information by both letter and telephone to invite them to an M-Night or Open House.
Prior to, during and for a few days after the time the display is set-up, place ads in the print and electronic media. The copy used should reinforce the charitable and fraternal message convey by the Lodge display. To maximize the effectiveness of the media portion of the program, it is suggested the membership team:
Prepare and schedule the ads with the assistance of:
PLANNED MEMBERSHIP DRIVE
To succeed a membership drive must be planned and carried out much a like a sales campaign. It includes elements of all other membership programs. Its key difference is that the program is completed using a cadre of hand picked members who are trained to "sell Elkdom" working under the direction of a chairperson who has expertise in sales or sales management and has excellent organizational skills. Steps in the planned membership drive include:
1. Select the chairperson
2. The chairman selects two Lodge members to serve as the management team.
3. The management team selects team captains.
4. The team captains select three to five team members.
5. Prepare and implement a plan of action. Suggested activities include:
A. Send a letter to all
present Lodge members that encourages them to become an extension of the
membership teams.
B. Develop a quality brochure or fact sheet about the Lodge.
C. Prepare a sales packet that contains:
7. Initiate the new members as a class. Be sure there are more members in attendance
than the number of initiates.
